Northeast Data, Inc. employees required to spend the night out of town will be paid a Per Diem. This Per Diem will be paid at a rate of $60 per day spent out of town unless otherwise stated by the owner. Some areas of travel require a higher cost of living; these locations will be accommodated for on a case-by-case basis. Examples of higher cost areas include major metropolitan cities such as New York City, San Francisco, Washington D.C., Los Angeles, Chicago, and Boston.
Per Diem will be paid prior to travel via direct deposit to your account on file. In the event of last-minute changes to travel plans, the following procedures will apply:
Cancellation or Shortened Trip:
If the trip is canceled, employees must notify Human Resources immediately. Any overpaid Per Diem must be returned or will be deducted from the next paycheck.
If the trip is shortened and the work remains billable to the customer, employees will not be required to return any unused portion of the Per Diem, nor will deductions be made from their next paycheck.
If the trip is shortened and the work is not billable to the customer, employees must return any overpaid Per Diem or it will be deducted from the next paycheck.
Extended Trip:
If the trip is extended, employees should submit a request for additional Per Diem through the Per Diem Request form. This request should be made as soon as the extension is confirmed to ensure timely processing.
Change of Destination:
If the travel destination changes to a higher cost area, employees should inform Human Resources to adjust the Per Diem rate accordingly.
For the purposes of this policy, “billable” refers to any portion of a trip where Northeast Data, Inc. is able to invoice the customer for work performed, travel expenses, or project-related costs, regardless of whether the duration of the trip was reduced from the original schedule. If the customer is still charged for the trip in whole or in part, it is considered billable.
